CACIQUE INTERNATIONAL LIMITED NOW HIRING Executive Assistant to the Senior Vice President of Sales & Marketing / Sales Coordinator Job Summary Cacique International Limited is seeking a highly experienced, organized, proactive, and results-driven Executive Assistant / Sales Coordinator to provide high-level administrative and operational support to the Senior Vice President of Sales & Marketing. The successful candidate must possess a Bachelor's degree and a minimum of 3–5 years of relevant professional experience, preferably supporting senior-level executives. This position requires an individual who can thrive in a fast-paced, demanding environment, manage multiple priorities, exercise sound judgment, and work independently with minimal to no supervision. The ideal candidate must demonstrate exceptional organizational skills, attention to detail, professionalism, confidentiality, and the ability to anticipate executive needs while ensuring the efficient operation of the Sales & Marketing Department. Key Duties & Responsibilities Executive & Administrative Support Provide high-level administrative support to the Senior Vice President of Sales & Marketing. Manage executive calendars, appointments, meetings, schedules, and travel arrangements. Prepare correspondence, reports, presentations, meeting agendas, and other professional documents. Coordinate executive meetings, business travel, and special assignments. Handle confidential and sensitive information with discretion and professionalism. Anticipate executive needs and take initiative to complete assignments without constant supervision. Monitor outstanding tasks, follow up on action items, and ensure deadlines are met. Sales & Marketing Coordination Assist with the coordination and execution of sales and marketing initiatives, projects, and activities. Oversee the transition of confirmed client programs from the Sales Department to the Operations Department. Coordinate client site inspections, familiarization (FAM) trips, business travel, and marketing activities. Maintain accurate and updated sales records, client files, proposals, and departmental documentation. Assist in preparing sales reports, marketing presentations, and client correspondence. Coordinate with internal departments to ensure the smooth execution of client programs. Client & Vendor Relations Establish and maintain professional working relationships with clients, vendors, suppliers, and company executives. Coordinate reservations, bookings, confirmations, cancellations, and program arrangements. Ensure all relevant client documentation is completed accurately and submitted within established deadlines. Respond promptly and professionally to client inquiries and correspondence. Assist with coordinating destination management programs and special projects. Administrative & Operational Efficiency Maintain organized electronic and physical filing systems. Monitor departmental deadlines, priorities, and outstanding assignments. Ensure accuracy and completeness of reports, records, and correspondence. Identify opportunities to improve administrative processes and departmental efficiency. Manage multiple assignments simultaneously while maintaining a high standard of work. Perform other related duties as assigned by management. Qualifications & Experience Bachelor's degree required in Business Administration, Marketing, Hospitality Management, or a related field. Minimum of 3–5 years of proven professional experience as an Executive Assistant, Personal Assistant, Sales Coordinator, or in a similar role. Previous experience supporting senior executives or executive management is strongly preferred. Must have experience working in a fast-paced, demanding, and deadline-driven environment. Must be capable of working independently with minimal to no supervision. Must demonstrate excellent organizational, multitasking, and time management skills. Must possess strong written and verbal communication skills. Must be proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Experience in sales and marketing, hospitality, tourism, or destination management is an advantage. Must be willing and able to travel when required.
