Job Summary This position supports legal services, corporate governance and data protection activities across a diverse group of companies. The role assists with legal affairs, corporate governance obligations, regulatory compliance and the organization’s data protection programme. The Paralegal works under the direction and supervision of the Group Legal Counsel and does not provide independent legal advice on behalf of the organization. Key Responsibilities Legal Support • Assist with the preparation, review, formatting and administration of contracts, agreements, legal correspondence, demand letters and other legal documents. • Conduct legal and regulatory research and prepare summaries for review by the Group Legal Counsel. • Maintain the University’s legal matters register, including litigation, claims, contracts, disputes and outstanding legal matters. • Monitor deadlines, court dates, contractual obligations and other legal deliverables. • Organize and maintain legal files, supporting documents and correspondence. • Liaise, as directed, with external attorneys, government agencies, regulators and other stakeholders. • Assist with debt recovery, litigation and other legal matters, including compiling supporting documentation and chronologies. Corporate Secretariat & Governance • Assist the Corporate Secretary with Board, Committee and corporate governance matters. • Coordinate and compile corporate governance and compliance papers, resolutions, minutes and supporting documents. • Maintain corporate records, statutory documents, registers, resolutions and governance records for UCC and related entities within the UCC Group. • Monitor governance action items and help ensure decisions and resolutions are appropriately recorded and followed up. • Assist with corporate filings and other statutory or regulatory submissions as directed. Data Protection & Compliance • Support the Director of Data Protection in administering UCC’s data protection programme and compliance with Jamaica’s Data Protection Act and applicable policies. • Maintain data protection records, including the Data Breach Register, data mapping records, training records and compliance documentation. • Help coordinate data protection training and awareness activities across the University. • Assist with administering and documenting data subject requests and reported data protection incidents. • Support reviews of policies, procedures, contracts and departmental practices for data protection considerations. • Monitor compliance deadlines and follow up with departments on outstanding requirements. • Maintain strict confidentiality regarding personal data, sensitive information and privileged or confidential legal matters. Qualifications & Experience • Bachelor’s Degree in Law (LL.B.) or equivalent legal qualification preferred; or a recognized paralegal/legal studies qualification with relevant experience. • Previous experience in a legal, corporate governance, compliance or regulatory environment would be an asset. • Good understanding of legal research, document preparation and records management. • Familiarity with Jamaica’s corporate, regulatory and data protection environment would be an asset. • Strong written and verbal communication, organizational and administrative skills. • High level of discretion, professionalism, attention to detail and ability to manage confidential information. • Proficiency in Microsoft Office and electronic document-management systems. Authority and Accountability The Paralegal provides support to the Group Legal Counsel, Corporate Secretary and Director of Data Protection and operates within delegated authority. The position does not have authority to provide independent legal advice, bind the University, make determinations on legal liability, or exercise statutory functions reserved for the Data Protection Officer/Director of Data Protection without appropriate authorization.
