Hiring company: Concepts Marketing Solutions Source: LinkedIn Bahamas About the Role Concepts is seeking a highly organized, proactive and dependable Operations Coordinator to support the planning and execution of a major event taking place in Nassau this December. You’ll work closely with the event producer and serve as a key point of support across event logistics, vendor and partner coordination, documentation, scheduling and execution. This is a hands-on role for someone who doesn’t simply wait for instructions. We’re looking for a self-starter who anticipates needs, follows through consistently and can keep multiple moving parts organized. Key Responsibilities • Maintain project timelines, task lists, deadlines and follow-ups • Coordinate with vendors, suppliers, sponsors and event partners • Source and organize vendor quotations and assist with event logistics • Track contracts, invoices, payments and supporting documentation • Coordinate meetings, schedules, action items and reminders • Support sponsor and partner deliverables • Assist with talent travel and hospitality logistics as required • Support venue, production, security, staffing and transportation coordination • Provide hands-on support during event setup, execution and breakdown • Assist with post-event reconciliation and project closeout What We’re Looking For The ideal candidate is: • Exceptionally organized and detail-oriented • Proactive, resourceful and solutions-focused • Strong at follow-up and comfortable managing deadlines • An excellent written and verbal communicator • Calm under pressure and adaptable when plans change • Comfortable managing multiple priorities simultaneously • Discreet and trustworthy with confidential business information • Tech-savvy and comfortable with Google Workspace, Excel/Google Sheets, WhatsApp, email and AI productivity tools such as ChatGPT Previous experience in event production, project coordination, executive support, hospitality, logistics or small-business operations is an advantage. Time Commitment Approximately 5 hours per week, plus 4-hour biweekly Saturday planning meetings. The successful candidate must also have full-time availability during event week, December 14–20, including flexibility for extended hours around setup, event day and breakdown. Compensation: Competitive hourly compensation, with the opportunity for a performance bonus upon successful completion of the project.
