Hiring company: Actualise Now Source: LinkedIn Barbados Our client, an established legal practice, is seeking a personable, organised and detail oriented Receptionist/Administrative Assistant to join their team. This is an excellent opportunity for a service driven professional to contribute to the smooth and efficient operation of a busy legal office. Position Summary The Receptionist/Administrative Assistant will serve as the first point of contact for clients and visitors while providing administrative support to the attorneys and Office Manager. The role will contribute to the efficient day-to-day operation of the office, with responsibility for client communication, document management, scheduling and general administrative support. Key Responsibilities • Receive documents coming into the office and distribute them as appropriate. • Assist with the preparation of legal documents, correspondence and invoices. • Maintain accurate and up to date physical and electronic client files, including filing, scanning, organising and saving documents appropriately. • Assist with the management of attorneys’ diaries by scheduling client appointments and meetings. • Process third-party and vendor invoices. • Manage incoming calls and emails, taking and relaying messages and responding or redirecting enquires as appropriate. • Facilitate the meeting of deadlines by providing timely reminders to attorneys. • Prepare receipts for original legal documents received from clients. • Meet with attorneys to manage and keep client files updated. • Maintain confidentiality of sensitive legal and client information at all times. • Assist the Office Manager with facilities management, including coordinating maintenance and repairs. • Assist with internal communications and the procurement of stationery, equipment and office supplies. • Carry out any other reasonable duties as instructed by the attorneys. Experience & Skill Requirements • Diploma or certificate in Office or Business Administration or a related field is an asset. • Prior experience in a receptionist, administrative or legal support role preferred. • Ability to type at high speed with high accuracy. • Proficiency in Microsoft Office programmes (Word, Excel, Outlook). • Demonstrated ability to prioritise tasks and meet deadlines in a fast-paced environment. • Comfortable liaising with government offices, court, corporate and land registries. • Professional and courteous demeanour with a strong client service orientation. • Excellent written and oral communication skills, and the ability to work well within a team.
