Key Responsibilities:
• Maintain accurate and up-to-date physical and electronic employee files.
• File, scan and organise HR documents in accordance with established document-control requirements.
• Update employee information in the HRIS and approved HR trackers.
• Assist with posting vacancies, receiving applications and scheduling interviews.
• Prepare interview documents and recruitment files as directed by the HR Coordinator.
• Prepare onboarding documents and personnel files for newly hired employees.
• Maintain probation and confirmation trackers and advise the HR Coordinator of upcoming review dates.
• Receive and file approved leave forms and update employee leave records.
• Assist with compiling attendance, lateness, absenteeism and overtime records for HR review.
• Assist with the preparation of routine HR letters, forms and correspondence using approved templates.
• Assist employees with routine HR forms and administrative queries and refer matters requiring HR judgement to the HR Coordinator.
• Assist with employee separation documentation and update employee records accordingly.
• Support HR audits and document reviews by retrieving, organising and maintaining required records.
• Maintain strict confidentiality of employee records, personal information and other sensitive HR information.
• Provide general clerical and administrative support to the HR Department.
• Ensure assigned HR records and activities are completed accurately and within required timelines.
• Perform other reasonable duties as assigned by the HR Coordinator.
Qualification/Experience
1. A minimum of five (5) CSEC subjects, including Mathematics and English Language and proficiency in Microsoft Word, Excel, Outlook and other standard office applications
2. Certificate or Diploma in Human Resources Management, Business Administration, Management or a related field would be an asset.
3. Minimum of one (1) year of administrative, clerical or related work experience would be an asset.
4. Previous exposure to Human Resources administration would be advantageous.
5. Experience using an HRIS, record-management system or similar database would be an asset.
