POSITION SUMMARY:
The position serves in an administrative capacity and is responsible for greeting all visitors and associates in a courteous and professional manner. The position assists in a critical way with the recruitment process. In doing so the incumbent manages scheduling of interviews, requests all relevant hiring documents from potential employees etc. The position also maintains a resume database and assists with administrative tasks such as completion of job letters, responding to resumes, and creation of letters, memos, and flyers. The incumbent inputs data into the HRIS system and assists with scanning and maintaining a proper filing system. The position also performs duties in support of the objectives of the HR department.
The position serves as a direct point of contact and provides excellent customer service for all associates and visitors to the Human Resources Department. Assists in a critical way with the recruitment process, and in doing so, the incumbent processes documents to complete files and serves as a first point for compliance and creation of personnel files.
Essential Duties:
Serves as a “face” of the HR department and interacts in a professional and courteous way with internal and external clients.
• Assists with input of new employee data in the HRIS system in a timely manner.
• Maintains the department's resume database.
• Makes contact with candidates and arranges interviews on a timely basis.
• Sets up employee physicals and competency testing and organizes background checks in a timely manner.
• Reports on HR activity on a monthly basis (e.g., number of visitors to the department.)
• Assists with compiling a file with associates personal information.
• Assists with maintaining an accurate and proper filing system for all HR information and associates' files; ensures all information is filed and scanned within 72 hours upon receipt.
• Assists with ordering and stocking of office supplies.
• Performs other duties as assigned without reservation.
• Sorts incoming correspondence and distributes as necessary to appropriate persons daily.
• Consistently creates and projects a positive first impression by demonstrating a warm and welcoming and professional image to all customers and visitors to the HR Department by greeting and interacting with them, in person or on the telephone, and answering or referring inquiries.
• Acts as a liaison and proactively solves problems for customers by handling minor complaints and inquiries, directing and providing appropriate and relevant information.
• Manages the front desk (visitors to HR, phones, incoming and outgoing packages, HR inbox, etc.)
• Assists with recruitment and associate onboarding tasks (e.g., assists with background check process and follow-up, sends pre-boarding email, and manages the process) to maintain compliance, practices, and data integrity.
• Creates pre-employment screening profiles for relevant job position, disseminates, tracks and reports on pre-employment selection results to appropriate HR leader (e.g., Hire Select)
• Audits new hire documents for accuracy.
• Demonstrates high proficiency and knowledge in administrative and HRIS system applications (e.g., tracking new applicants in Cornerstone)
• Prepares and issues new and replacement ID badges.
• Creates, maintains, and reports on relevant HR metrics.
• Creates monthly HR statistics (use MS Excel to create spreadsheets, e.g., number of HR interviews (include departments, dates and number of candidates); number of HR walk-ins; number of job letters, etc.
• Conducts HR satisfaction surveys and provides statistics.
• Effectively performs basic administrative/secretarial duties
• Assists with filing and scanning as needed.
Qualifications and Experience:
• Minimum: Associate’s degree in Computer Information Systems or Human Resources from an accredited university or college
• Minimum of three years' experience as frontline customer service/relationship management
• Intermediate to advanced level of proficiency in Microsoft Office software suite (Excel, Word)
