CAREER OPPORTUNITY - Legal Assistant
Chancery Chambers, a closely-knit law firm dedicated to excellence, is seeking an organised, professional and detail-oriented Legal Assistant to join their Corporate & Commercial Department. This role offers an exciting opportunity to work alongside experienced Attorneys on a diverse range of corporate transactions, regulatory matters, commercial activities and client engagements.
The successful candidate will play an integral role in supporting the efficient management of corporate and commercial matters by providing administrative, compliance, and legal support services. This position is ideal for an individual who enjoys working in a fast-paced environment, has strong organisational skills and is committed to delivering exceptional client service.
The Role
The Legal Assistant reports to the Partner/Senior Paralegal and will be responsible for:
Corporate & Commercial Support
• Assisting Attorneys with the administration of corporate and commercial matters.
• Conducting and coordinating searches through Business Barbados and liaising with legal clerks to obtain searches from the Supreme Court Registry, the Land Registry, and other relevant registries.
• Requesting and tracking statutory certificates, regulatory clearances and related documentation.
• Monitoring and tracking compliance deadlines, filing requirements, licence renewals, and statutory obligations.
• Maintaining accurate records and notifying supervising Attorneys of upcoming deadlines and compliance requirements.
Transaction Management & Documentation
• Preparing, proofreading and distributing correspondence and transaction-related documents.
• Assisting with the preparation and circulation of transaction closing documents and execution packages.
• Maintaining, updating and distributing transaction status reports for banking and corporate clients across multiple matters.
• Organising and maintaining electronic and physical client files, ensuring all documents are accurately filed within the firm's document management system.
• Opening new client matters and ensuring proper file setup and record management.
Client & Stakeholder Service
• Serving as a professional point of contact for routine client communications.
• Liaising with regulatory bodies, government agencies, financial institutions, registries and other external stakeholders.
• Providing timely updates and document requests while ensuring substantive legal matters are referred to the supervising Attorney.
Administrative & Operational Support
• Providing administrative and logistical support for meetings, including scheduling, preparation of materials and circulation of minutes.
• Assisting with timekeeping and billing administration by preparing and submitting billing riders to the Accounts team.
• Performing general administrative support tasks to facilitate the efficient operation of the department.
The Candidate
The Legal Assistant Should
• Have a minimum of one years' experience in a legal assistant, paralegal, corporate services, or professional services support role.
• Have an understanding of corporate administration, legal documentation, and records management.
• Have strong organisational skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment while maintaining accuracy and attention to detail.
• Have excellent written and verbal communication skills.
• Be proficient in the use of various components of Microsoft Office Suite; namely Word, Excel and PowerPoint and legal documentation management systems.
• Possess the ability to work with discretion and maintain confidentiality.
• Be a team player with a proactive approach to supporting the department and the firm.
A Certificate in Legal Administration, Paralegal Studies, Business Administration or a related discipline would be an asset.
