Job Summary:
The Accounts Payable Clerk is responsible for timely payment to vendors, reconciling invoices and accounts as well as ensuring proper maintenance of vendor statements.
Duties/Responsibilities:
• Complete payments and controls expenses by receiving, verifying, processing, and reconciling local vendor invoices.
• Reconcile processed work by verifying entries and comparing it to AS400 system for check printing.
• Pay vendors by scheduling and preparing cheques and resolving local purchase orders, invoice and payment discrepancies.
• Maintain records of check requests and promotional sheets from Medical and Marketing Representatives daily in preparation for drafting debit notes at the beginning of the month.
• Prepare and issue debit note statements for all overseas vendors.
• Reimburse employees by receiving and verifying expense reports.
• Ensure that weekly checks are distributed to warehouse and retail staff.
• Pay various local monthly bills such as maintenance, security, media advertising, rent, and other miscellaneous expenses while ensuring that information is entered into the system for recording.
• Stock office, pantry, and retail supplies as needed.
• Assist with file room roll over yearly.
• Protect organization’s value by strictly keeping information confidential.
• Keep appropriate records relating to the discharge of his/her responsibilities.
• Execute any other duty assigned by senior management.
Qualifications
• Associates Degree or higher in Finance/Accounting or related business field.
• Minimum of two (2) years related experience required.
• Current accounting or finance credentials or certification a plus.
• Advanced Microsoft Excel skills.
• Proficient with AS400 software preferred.
• Proficient with Microsoft Office Suite or related software.
• Strong analytical and problem-solving skills.
• Excellent data entry and administrative skills.
• Excellent verbal and written communication skills.
• Excellent vendor relationship management.
• Excellent organizational skills and attention to detail.
